Terms and Conditions of Hire
Hirers of room(s) at Riverside Community Centre must confirm agreement to the following terms and conditions of hire, when making a booking:

The Hirer(s) confirm that I/we will immediately arrange to pay the hire charges due on confirmation of the booking by Friends of Riverside. (How to make payment will be shown on your 'Booking Confirmation', usually sent by email, when your booking is confirmed by us).

Further Terms and Conditions of Hiring:
The Hirer(s) agree to the following and confirm that:
- The Hirer shall ensure compliance with the terms and conditions by members of the organisation or group on whose behalf the hiring is made, or by any other persons using the accommodation/ facilities in connection with or for the purpose of the hiring.
- The accommodation/ facilities shall not be used otherwise than for the purpose stated on the booking form. The Hirer shall not assign the benefit of the hire agreement. The Hirer shall not share the use of the accommodation/ facilities with any other person, group or organisation unless a member or invitee of the Hirer permitted to use the premises under the original hiring purpose.
- Accommodation/ facilities are hired as they normally stand and no alterations or additions shall be made to lighting, heating, fittings, fixtures and other arrangements of accommodation. No bolts, screws, nails or tacks shall be driven into any part of the accommodation/facilities, neither shall any adhesive be used on walls, fixtures, fittings and furnishings without specific agreement by Friends of Riverside.
- Posters placards, bills, photographs and teaching aids should be displayed only on boards unless by specific arrangement and not left on display unless by prior arrangement with Friends of Riverside.
- In the event of damage to the accommodation/ facilities and loss of, or damage to any furniture, property and equipment caused directly or indirectly as a result of the hiring, the costs shall be repaid to Friends of Riverside.
- It is the responsibility of the Hirer to ensure that any equipment they bring to use in the building is in good working order, with suitable certification if appropriate and that the equipment is non-hazardous. (It is the responsibility of the Hirer to ensure that any electrical equipment they bring to use in the building is in good working order and that this is evidenced by a current PAT Test).
- Friends of Riverside cannot be held responsible for goods, property or clothing brought into and left in the accommodation/ facilities or the building of which it forms part, or it's carpark or grounds.
- The Hirer shall be responsible for leaving the accommodation/ facilities in the good clean condition in which they find them. Setting up time and clearing up time must be included within the session time booked and the room left clean and ready for the next user by the end of your session time. Any crockery, cutlery etc used by the Hirer must be washed up, dried and put away or otherwise stacked in the dishwasher and put on to wash.
- No rubbish is to be left at the Centre after a session. All rubbish resulting from the Hirer’s session must be taken away and disposed of by the Hirers.
- The Hirer shall be responsible for the maintenance of good order and behaviour during the hiring. Friends of Riverside reserve the right to terminate forthwith any entertainment, activity or meeting permitted under the hire which is not properly conducted.
- Hirers allowed storage must keep their storage cupboard or area clean and tidy. Please take away with you, any equipment or items which you are not able to put in your storage area. You are not allowed to store hazardous or dangerous chemicals or other dangerous and/ or combustible materials or items. Please note that Friends of Riverside are not responsible for any safekeeping or security of your stored equipment or other items, nor any recompense to any parties due to loss or accident.
- Any storage keys lost by the hirer or stolen and which need replacing will be at the hirers cost. If this is not possible then the cost will be for replacement of the lock. (Under no circumstances have duplicate keys cut for others without permission from Friends of Riverside, as all storage keyholders must sign to say they are responsible for holding a key).
- Smoking is not permitted in any part of the building/s of which the accommodation/facilities form part.
- No intoxicating liquor shall be sold, supplied or consumed unless by specific arrangement with Friends of Riverside.
- Friends of Riverside are not liable for any loss or compensation due to failure of the free Wi Fi or other amenities.
- Vehicles parked in any car parks and grounds serving the accommodation/facilities are done so at their owners' risk entirely, including liability for loss, accidents or injury. (Re Parking Spaces: Please note that preference is given to those loading and unloading plus those with mobility issues who are using the Centre. There is a long stay car park five minutes from the Centre, across the road).
- The Hirer shall indemnify Friends of Riverside against all claims, demands, actions or proceedings arising out of the infringement of copyright during the period of the hire of the accommodation/ facilities.
- No television or BBCIPlayer or Catch up channels are to watched on any machine or device at the Riverside Community Centre.
- All corridors, stairways, exits, fire extinguishers or fire exits to which the public or members of the user group have access should at all times be kept free from obstruction.
- The Hirer shall adhere to any Health & Safety, Fire evacuations policies or any other policy or policies which are in force at any time in relation to the accommodation/facilities and its use and the Responsible Hirer shall take such action as is necessary to ensure compliance. (The Hirer or their responsible person is responsible for ensuring that their group or organisation members or event attendees or any others attending or involved with their session are fully aware of fire evacuation procedure).
- No articles having an inflammable or explosive nature, nor any article which produces an offensive smell or is injurious to health should be brought into the accommodation/ facilities/ grounds.
- The Hirer or their responsible person should be aware that they and their group/ organisation or attendees or others attending or involved with their session may enter and be in the building which is otherwise unoccupied. In this case, please do not enter if you are on your own, but wait for others before entering or occupying the building, as a precautionary measure.
- Safeguarding & Child Protection: Friends of Riverside recognises the need to ensure the welfare of children, young people and vulnerable adults. The Hirer is responsible for ensuring that their group/ organisation / members or others have suitable, appropriate and sufficient policies and procedures in place for the safeguarding and protection of all users including vulnerable people and children. The Hirer is confirming this by signing this form.
- Attention is drawn to Section 12(I) of the Children and Young Persons Act 1933 which provides that when the number of children exceed 100, it is the duty of the person providing the entertainment to provide an effective corps of properly instructed stewards, to see that the number of children attending does not exceed the proper accommodation of the accommodation/facilities and to take all other reasonable precautions for the safety of children.
- Friends of Riverside will not be responsible or liable for claims in respect of damage or loss of property or injury to persons arising as a result of the use of the premises (including the storage of equipment if applicable) by the Hirer.
- Where appropriate for the hiring purpose, the Hirer shall take out adequate insurance to insure the Hirer and members of the Hirer’s organisation and invitees against all claims arising as a result of the hire and on demand shall produce the policy and current receipt or other evidence of cover.
- The accommodation/ facilities shall not be used for any unlawful purpose, and the Hirer shall strictly observe and perform all the statutory provisions and regulations and all conditions and regulations imposed by the Justices of the Peace.
- The Hirer will not receive any refund of charges if a booking is cancelled. (Very exceptionally, Friends of Riverside may reconsider this condition, depending on the circumstances of the cancellation. Any decision taken by Friends of Riverside will be final).
- Friends of Riverside reserve to right refuse admittance and refuse the hire of rooms at their discretion.
